Some of our tours, particularly multi-day itineraries, operate as group departures and require a minimum number of travelers to run.

• The default minimum is 5 travelers per departure. Certain tours or specific dates may require a different minimum, shown on each departure.
• Maximum group size depends on the capacity set for each tour and each date. The default is 16 travelers, but it may vary.
• You may book in advance even if the group has not yet reached the minimum.
• Until the minimum is reached, the departure is listed as Waiting for minimum. Once reached, it becomes Confirmed and we notify you.
• When a departure reaches maximum capacity it is marked Sold out and accepts no further bookings.

If the group does not reach the minimum. CostaTraveling reviews each departure no later than 30 days before the start date. If the minimum has not been reached, we may cancel the departure and will notify you by email and WhatsApp using the contact details on your booking.

In that case we offer you the following options, at your choice:

• Move your booking to another date of the same tour at no charge.
• Switch to a different tour, adjusting any price difference.
• Receive a credit for the amount paid, valid for 12 months.
• Receive a refund of the amount paid, under the Refund Policy.

Bookings and deposits. A deposit may be required to secure your place. The balance is due before the deadline stated on your booking. A booking with payment outstanding holds a place in the group, but CostaTraveling may release it if payment is not completed within the agreed period.

Date changes. Changes requested by the traveler are subject to availability on the target date and to the terms of the Refund Policy.

To manage a group tour booking, CostaTraveling collects and stores:

• Contact details of the person booking: name, email and phone number.
• Details of each traveler on the booking: name, nationality and, where the tour requires it, date of birth and passport number.
• Information needed to organize the trip that you share with us voluntarily, such as dietary restrictions, allergies or relevant medical conditions.
• Booking data: tour, departure date, number of travelers, payment status and amounts.

We use that information to:

• Manage your booking and keep you informed of the group status.
• Organize the departure and communicate with travelers before and during the tour.
• Coordinate tourism services with suppliers — transport, accommodation, guides, restaurants — sharing only what is essential to deliver the service.
• Process payments where applicable.
• Meet applicable administrative and accounting obligations.

We do not sell or transfer your data for third-party advertising. We retain it for the duration of the commercial relationship and for the period required by applicable accounting obligations.

The terms in this section apply to multi-day group departures and replace, for those tours, the cancellation windows that apply to day tours.

If the departure reached the minimum. The booking proceeds normally. Cancellations requested by the traveler follow these windows, counted from the tour start date:

• More than 60 days before: 90% refund.
• Between 30 and 60 days before: 50% refund.
• Fewer than 30 days before: no refund.
• No-show on departure day: no refund.

If the departure did NOT reach the minimum. When CostaTraveling cancels a departure for not having gathered the minimum of 5 travelers, the cancellation is not the traveler's responsibility. You may choose between:

• Moving to another date of the same tour, at no charge.
• Switching to a different tour, adjusting any price difference.
• A credit for the amount paid, valid for 12 months.
• A refund of the amount paid.

Refunds are processed to the original payment method within 15 business days of your confirmation. Fees charged by the payment processor or issuing bank are outside our control.

Costs already committed. If, at the time of cancellation, there are non-refundable services already paid to suppliers — domestic flights, named tickets, accommodation under strict policies — we will inform you with the breakdown before processing the refund.

Date changes. Subject to availability. A change requested fewer than 30 days in advance may be treated as a cancellation.
